Volunteer Connection of Jefferson County

By-Laws

Adopted-as amended August 2008


1.0   Mission:

Create a network of non-profit organizations, agencies and individuals who promote and encourage volunteerism throughout Jefferson County.

2.0   Purpose: 

By sharing ideas, resources and volunteer management skill, member’s network to enhance partnerships, facilitate project collaboration, communicate volunteer opportunities to the community and enhance Volunteer Management as a profession.

3.0   Membership:

Open to all Volunteer Managers and employees of agencies who utilize volunteers in Jefferson County.

4.0   Meetings:

4.1   Meetings are held the third Thursday of the month, from 8:30 to 10:00. 

4.2   Steering Committee meetings (officers) will be held as needed.

5.0   Agenda Topics:

Agendas are set by the Co-Chairs with input from the other officers and the members.

6.0   Officers:

Election of officers will be at the May Meeting. Term of office is two (2) years beginning in June of the current year for all officers. Officers must be dues paying members of the organization.

7.0   Duties and Powers of Officers:

7.1   Co-Chairs:

  • Facilitate Steering Committee meetings
  • Work together in facilitating all Volunteer Connection meetings
  • Prepare agendas for business meetings
  • Coordinate the Annual Recognition Luncheon
  • Write an annual report
  • Other duties as may be appropriate

7.2   Secretary:

  • Keep accurate minutes of all business meetings
  • e-mail minutes to ?????
  • Maintain secretary’s book to include minutes, correspondence, Treasurer’s reports, etc.
  • Handle general correspondence
  • Attend Steering Committee meetings

7.3   Treasurer:

  • Receive and deposit all funds paid to the Volunteer Connection
  • Disburse payments by check, upon officer request
  • Maintain accurate accounting of all receipts and disbursements
  • Prepare an annual fiscal report
  • Maintain a membership mailing list—update monthly
  • Attend Steering Committee meetings.

7.4   Marketing/Public Relations Chair and Committee

  • Act as a liaison between the organization and county newspapers
  • Promote the Volunteer Connection  through media channels
  • Write press releases for special events sponsored by Volunteer Connection
  • Maintain Volunteer Connection website on a monthly basis, if needed,  and update Membership listings and Volunteer Opportunities quarterly
  • Edit and coordinate production of quarterly newsletter
  •  Coordinate participation in Volunteer Fairs
  •  Attend Steering Committee meetings

7.5 Membership Promotion Chair and Committee

    • Coordinate with the Treasurer regarding the current membership list
    • Research prospective Volunteer Connection members and send recruitment and promotional materials
    • Develop ways of reaching prospective members to inform them of the   resources offered by the organization
    • Develop other promotional materials
    • Send annual dues notices to current members
    • Attend steering committee meeting

    8.0   Functions and Activities:

    • Survey members regarding speaker topics that would be helpful
    • Survey members for possible speakers from within the organization or the community
    • Steering Committee members will plan a six (6) month program schedule
    • Annual luncheon

    9.0   Decision Making Process:

    • Informal
    • Ideas generated by the officers or by members at business meeting
    • Officers discuss at steering committee meetings and bring to general membership for decision

    10.0 By-Laws:

    • Informal Review every three (3) years and update as needed to meet changing needs and processes.
